Lower Your Scanning Costs – Eliminate Staples!

As  you contemplate having your records scanned and accessible with the click of a mouse, you surely wonder what you can do to lower your cost of doing so.  It will be no surprise to you that there is a fair amount of work involved in preparing documents for scanning. Every paper clip, staple, rubberband, binder clip, etc must be removed.  Additionally, documents need to be taken out of envelopes, pages need to be torn off of legal pads, sticky notes need to be removed (or just moved if covering text), etc. This is extremely labor-intensive and, therefore, costly.

The good news is that there are steps you can implement NOW to make the cost of your document scanning project much lower.   Our number one suggestion is:

STOP USING STAPLES as much as possible!

Here are some examples on what we mean:

•  Tape your phone messages and sticky notes to a full-size sheet of paper– don’t staple them.  Or throw them into a designated envelope within the file.

•  Use just one staple– don’t staple together a bunch of pages that already have staples– untangling them all takes time.

• Invest in a heavy-duty stapler if you regularly staple larger stacks of pages together– don’t attempt 1 or more staples in the front and then 1 or more more in the back.

• Use paper clips and binder clips to hold documents together.
