Quality Control for Document Scanning Projects

Let’s address these natural concerns. Our Quality Control Protocol begins with our chain of custody process. Once our customer has identified which materials are being retrieved, we personally come onsite, label each item with a color-coded and sequentially-numbered sticker. We also document how many items are being retrieved with our Retrieval Receipt.
Once at the office, we begin the process of creating a spreadsheet that includes the titles for how the items will be labeled once scanned. This also serves as a master inventory of all materials received. If a customer needs a file in the interim, we can locate it and quickly get it back to the customer because we have an accounting of what is in each box we retrieved.
At the scan step, the scanner watches the monitor to ensure each page generates a digital image. In addition, our scanners contain special multi-feed sensors and it is literally impossible to skip a page.
At the quality control step, a reviewer reviews all images for quality by ensuring pages are rotated upright, blank pages are deleted, faded text has been pulled off the page with page enhancement features, pages are despeckled & deskewed, etc.
Our project manager then conducts a count check, comparing the paper file against the digital file. She ensures that we have a digital file for each original paper file. Perfection is our standard.
