Digitizing Land Records for Ohio Recorders

Ohio Senate Bill 94 requires Ohio Recorders to make their land records dating 1980 to the present available online. These land records include real property records such as deeds, mortgages, mortgage releases, powers of attorney, partnerships, liens, and leases.

ScanWorks has extensive experience scanning these types of documents into digital format. We most recently worked with the Recorder in Paulding County.

Our process begins by ScanWorks staff coming in person to retrieve the records to be digitized. We label each book and box, transport them to our secure facility, and then we take inventory of exactly each item received. This initial inventory step allows to produce records that are needed by our customers while their materials are in our possession.

Another early step we take before beginning the scanning process is to communicate with the customer’s software vendor about the technical specifications for the digital files. We determine what format is required as well as the exact nature of how the files are to be labeled (also called indexing). Ironing out these details in advance enables the software vendor to import the scanned images into the software, thus enabling our customers’ compliance with SB 94.
