Scanning Files for Courts in Ohio

Since 2011, ScanWorks has specialized in digitizing records for courts throughout Ohio. Whether converting traffic, criminal, civil, or appellate cases to digital format, we can do it all.

The process begins with retrieval. Our staff comes onsite to your courthouse, numerically stickers each box, loads them into our vehicle, and transports them to our secure office.

We then inventory the contents of each box. This accomplishes two objectives. First, we prorate boxes for billing purposes that are less than completely full. Second, we create a spreadsheet listing each and every case that is in each. Inevitably, a court needs a file while the scanning process is underway. By having a master list of all case numbers, we are able to easily locate a needed case and get it back to the court right away.

We then prep the files for scanning. This involves removing staples, sticky notes, binder clips, rubberbands, etc. We then run the files through either our fast or slow scanners, depending on the condition of the paper. Our editors then do a review of the scanned images for quality. Finally, our quality control manager makes sure there is one digital file for every paper file received.

In terms of how we finalize a project, that depends on what the customer desires. We can hand the customer a hard drive of all of their digitized files, or we can deliver a hard drive to the customer’s case management vendor for import into their court software.
