Document Tracking and Transport

Once a customer signs a Contract for Services, we make arrangements to transport their documents to our secure facility.  (We do also offer the option of scanning onsite at the customer’s location.)  When our driver arrives, s/he will place a numerical label on each box to be transported.  The numbers on those labels are then recorded on our Retrieval Receipt, which both the customer and the driver sign.  Two originals are made– one for the customer and one for ScanWorks.

Once the boxes arrive at our secure facility, our warehouse manager verifies the numbers on the labels and enters the boxes into our scanning queue for processing.  The boxes are tracked as they go from our document prep area, to our scanning area, to our quality control area, and back to the warehouse.  We further track the boxes through the return or shred process.  With this system, we know where customer boxes are at all times and we are able to retrieve materials that customers may need from their boxes while they are in our possession.
